Editing, merging, and archiving students

Your student list will gather some clutter over time — duplicates, year-end clean-ups, the odd typo. This article covers the tools for keeping it tidy.

Editing a student

  1. Open the student’s detail page (or open the actions menu next to them in the Students list).
  2. Click Edit student.
  3. The Edit student dialog opens with all current values pre-filled.
  4. Change anything you need to, then click Save.

Fields you can change: name, year, classes, email, and student ID. Editing a student doesn’t affect any of their existing marks or submissions.

Merging duplicate students

If two student records have ended up representing the same person — maybe one was auto-created from a submission and another from your CSV import — you can merge them.

  1. Open the actions menu on the student you want to keep or the duplicate.
  2. Click Merge with another student.
  3. Pick the other record from the list.
  4. Review the merge preview — it shows how many submissions will move across and what the final record will look like.
  5. Click Merge.

All submissions from the source student are moved across to the target, and the source record is archived.

Archiving a student

At the end of the year, you might want to clear leavers out of your active list without losing their data.

  1. Open the student’s actions menu.
  2. Click Archive student and confirm.

Archived students don’t appear in the main Students list, but their submissions and marks stay intact. To bring them back, find them via the archive filter and click Unarchive.

Bulk actions

If you’ve got a whole class to archive or update at once, select multiple students from the Students list and use the bulk action toolbar. See Bulk actions across students.

Deleting a student

There’s no destructive delete — archiving is the soft delete equivalent. If you genuinely need a record removed entirely, get in touch at connect@marking.ai and we’ll help.

FAQs

What happens to a merged student’s marks?

They move across to the student you kept. Nothing is lost.

Will archiving a student remove their marks from class averages?

No — their existing marks stay in the historical record. They just don’t appear in the active Students list.

Can I undo a merge?

No — a merge is permanent. If you’re not sure, archive the duplicate instead and come back to it once you’re certain.
